Saved responses are here!
We've added a new feature to the technology and building maintenance systems. Now, along with adding labor items, part items, and vendor items to a work order, administrators, building administrators, technicians, and building technicians can now add saved responses to work orders. Saved responses are "canned" solutions/answers entered by building and technology administrators. Instead of marking a work order complete and typing in information, technology and building workers can now mark a work order complete using the saved response. Using this feature emails the saved response to the person that entered the work order, marks the work order complete,
and records the response (and zero labor hours) as a labor item.
For example, say that you have been receiving a number of technology work orders about Internet Explorer's Web page unavailable while offline message. Your technology administrator can enter a detailed saved response such as:
"To remove this message, simply click the Connect button shown below the message. If the problem persists, Click on File at the top right-hand corner of Internet Explorer. If Work Offline is checked, click on it to 'uncheck' this option. This should correct the problem. If neither of these solutions solves the problem, please submit a new work order. Please state in the work order that the previous suggested solution did not solve the problem."
Now, instead of typing this each time on the add labor item page, a technician or administrator can simply select this saved response. The info will be emailed to the work order submitter and the work order will be marked complete.
We hope that this feature will save building and technology departments a great deal of time and help end users to receive detailed, uniform, self-service solutions. Thanks go to Patti Jones of the Senath-Hornersville school district in Missouri for suggesting this feature.

Updates and more updates
We've completed several updates over the last week:
Archived work orders can now be modified through the edit labor items page. Also, you can also "unarchive" a work order, by clicking on the unarchive link on the Administrator Options tab of the work order's details page. This function moves a work order out of the archive database back into the live database/grid. Only Administrators (in the Technology system) and Building Administrators (in the Building System) can "unarchive" a work order.
The unarchive function actually works best if you open the archived work order directly from the main page of whichever system you are using (using the open work order field and go button). If you browse archived work orders, open the work order from there, and then unarchive it, the process will still work. It will, however, show the unarchived work order to still be in the browse archive pages main grid until you close that page and reopen it. It really is unarchived, but the brief 'dual appearance' could cause confusion.
Also, several technicians had mentioned that it is cumbersome to find the technician comments left for them in the system. Now, in both the technology and building systems, the tech comments appear (for administrators, building administrators, technicians, and building technicians) at the top of the details page for work orders. Also, when these user types print the work orders assigned to them (using the printer or magnifying glass icons found to the left of the assignment count line on the main grid), the tech comments will be printed along with the work order details. The tech comments will not be included when emailing or printing work orders from the main grid of either system.
